Challenge

Areo Dental’s expansion to six offices revealed a few significant challenges with their traditional, on-premise dental software:

  • Doctors found it difficult to practice out of multiple offices
  • They couldn’t access data across their offices

Solution

As long-time Dentrix users, it made sense for Areo Dental to switch to cloudbased Dentrix Ascend. “We’re moving into the future. We don’t want to be a dinosaur left behind. And it makes our teams’ jobs easier,” said Dr. Anushka Gaglani, Co-Founder and Co-CEO, Areo Dental.

To ease the transition, Areo Dental closed two offices at a time for two days until all six were on Dentrix Ascend. The team found training incredibly easy in large part because of the support available right within the software.

Real-time insurance verification

Areo Dental now has access to real-time insurance verification with Eligibility Pro. Staff no longer have to make patients wait or risk losing them to another practice because it takes 45+ minutes to get detailed breakdowns from insurance companies. “It’s been super impactful and saves our teams a ton of time. We’ve found that 80% of our verifications are done through Ascend right now,” said Nagaraj.

Claims sent in seconds 

Ascend also makes it easy to batch and send claims at the end of the day. The system immediately lets the team know if a claim is missing information or attachments, speeding up the process and ensuring things aren’t falling through the cracks. 
“If you saw 50 patients in one day, you can literally send out all of those claims  in seconds,” said Nagaraj.

Increased patient payments

Ascend’s digital payment capabilities have eliminated the time-consuming task of manually sending paper statements.

“Having text to pay has been a game changer for us. Rather than waiting for somebody to print out statements, seal them, address them, and send them out, we now send out statements with the click of a button,” said Gaglani.

Smarter data-driven decision making

Analytics have played a large role in the 20% growth the organization has seen over the past few years. Areo Dental depends on Jarvis Analytics to track their KPIs. The operational team saves time and makes quicker, smarter decisions with data for all of their locations in a single place. At an individual level, hygienists are able to track SRP and fluoride percentages, as well as recare rates, while doctors can view their per patient productivity and case acceptance.
