Challenge

As Archway has grown, the team recognized the need for a cloud-based system that was more cost-effective, secure, and user-friendly, while maintaining the same reliability as their long-standing practice management system, Dentrix Enterprise. They also needed to put a system in place to measure growth and production, rather than guessing whether they had the right amount of doctors and hygienists or if office hours fit with patient needs.

Archway made the switch to cloud-based Dentrix Ascend and brought on Jarvis Analytics, as well, to measure and track their analytics.

Using data to create a better standard of care

With Jarvis, the Archway team could see what procedures hygienists were doing, how many they were doing, and how many patients they were seeing each day and then compare it to other team members. They’re able to look at the data, create a standard of care, and make sure their hygienists are following that standard, leading to more than 20% organic growth in their hygiene program.

Archway is also able to measure how many hours the offices actually have and how many appointments are filled in each office, helping the executive team to identify how efficient each office is and improving patient flow.

Fewer denials and less time spent on the phone

Limiting the number of denials and streamlining the insurance verification process has been a huge priority for Archway. Previously, they’d spend upwards of 40 minutes on the phone with insurance companies to get plan breakdowns. Now, that step happens right within Dentrix Ascend.

“Technologies that are built into the PMS, like auto verification, are so important to ensuring we have the right fee schedule and insurance attached to the patient so service doesn’t turn into a denial later,” said Richichi.

A better patient experience with integrated RCM solutions

Archway knows how important it is to streamline the patient intake process so that it’s easy for the patient and as automated as possible to reduce risk of errors. Through Ascend, the practice can automatically validate insurance, send statements through text and email, and manage forms completely online.
